Job Description: RECEPTIONIST
CLASS NO. 108 EEOC CATEGORY: ADMINISTRATIVE SUPPORT
PAY GROUP: 1 FLSA: Non-Exempt
SUMMARY OF POSITION
Performs receptionist duties, which include answering a multi-line phone system for the City of Navasota, directing calls, providing information, and/or taking messages as appropriate; greeting visitors that enter the Municipal Building; responding to citizen inquiries, clipping newspaper clippings, and articles related to City business, and performs other duties as assigned.
ORGANIZATIONAL RELATIONSHIPS
1. Reports to: Finance Director.
2. Directs: This is a non-supervisory position.
3. Other: May have contact with other City employees, department directors, and the general public.
EXAMPLES OF WORK
Answers a multi-line phone system, directing calls, providing information, and/or taking messages as appropriate;
Greets visitors that enter the Municipal Building;
Receives and dispatches messages and work orders over the radio;
Clip newspaper clippings and articles related to City Business and place in note books for safe keeping;
Making sure the lobby is clean, magazine racks organized and windows and doors are cleaned daily for fingerprints;
Sorts and distributes incoming and outgoing mail;
Other Important Duties*
Performs such other related duties as may be assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of: Modern office practices and procedures; knowledge of data entry procedures; and knowledge of answering a multi-line phone system.
Skill/Ability to: Demonstrate proficiency in both oral and written communication; write clear and accurate messages, taking down all information about complaints; operate standard office machines and work processing equipment; apply correct oral and written English, spelling, and punctuation; maintain clerical records and files with precision and accuracy; establish and maintain effective working relationships with co‑workers and the general public; and maintain a calm attitude during stressful interactions with the public both in person and in over the telephone.
ACCEPTABLE EXPERIENCE AND TRAINING
High school graduation or GED. A minimum of two years of experience in a customer service function providing services and/or information to customers;
Or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
CERTIFICATES AND LICENSES REQUIRED
Appropriate Texas Driver's License.
